Admin Dashboard
The Admin Dashboard gives you an overview of your workspace's key metrics and recent activity. Access it from the main navigation when logged in with admin or owner privileges.
Dashboard Overview
The dashboard displays real-time metrics and activity across your workspace.
Key Metrics
The dashboard displays five primary stat cards:
Total Acronyms
- Display: Count of all non-deleted acronyms in your workspace
- Update Frequency: Real-time
- Includes: Only published acronyms (soft-deleted items excluded)
- Use Case: Track content growth over time
Total Definitions
- Display: Aggregate count of all acronym definitions
- Calculation: Sum across all acronyms (one acronym may have multiple definitions)
- Update Frequency: Real-time
- Use Case: Understand knowledge base depth and richness
Active Users (Last 30 Days)
- Display: Count of unique users who accessed the workspace
- Period: Trailing 30 days from current date
- Tracked Actions: Logins, acronym views, searches, edits
- Use Case: Assess team engagement and adoption
Total Votes
- Display: Aggregate count of all upvotes and downvotes across definitions
- Update Frequency: Real-time
- Use Case: Measure community engagement and definition quality
This Week
- Display: Number of contributions (acronyms + definitions) added this week
- Trend: Week-over-week percentage change
- Color indicator: Green (increase), yellow (flat), red (decrease)
- Use Case: Monitor current activity trends
Contribution Chart
A line chart visualizes workspace contribution activity over the past 90 days:
- X-Axis: Date (daily buckets)
- Y-Axis: Contribution count
- Metric: Number of contributions (acronyms + definitions) per day
- Hover Details: Show exact count and date
Interpreting Trends
- Flat line: Team not actively contributing
- Upward trend: Increasing activity and knowledge capture
- Spikes: Likely correspond to onboarding events or project launches
- Downward trend: May indicate reduced adoption or team changes
Top Categories Chart
A bar chart shows the most used categories in your workspace:
- Categories: Top 5-10 by definition count
- Heights: Relative usage (definitions per category)
- Use Case: Understand what topics your team focuses on
Recent Activity Feed
Below the metrics and charts, a scrollable activity log displays the most recent workspace changes:
Activity Record Details
Each activity entry includes:
- Action: Type of change (e.g., "Created", "Edited", "Deleted")
- Item: Link to the affected acronym, user, or category
- User: Name of the person who made the change
- Timestamp: Relative time (e.g., "2 hours ago")
- Details: Brief description if available
Activity Types Logged
- Acronym Created: New acronym added
- Definition Added: New definition for an acronym
- Definition Edited: Existing definition updated
- Acronym Deleted: Moved to trash
- User Invited: New team member added
- Category Created: New category added
- Category Updated: Category name or color changed
Viewing More Activity
Scroll down in the activity feed to load previous activities. For a full audit trail and advanced filtering, see the Activity Log page.
Quick Actions
The dashboard includes quick-action buttons for common admin tasks:
Add New Acronym
- Shortcut: Opens the new acronym creation dialog
- Use when: Quickly add a single term
Invite Team Member
- Shortcut: Opens user invitation form
- Fields: Email, role (member/admin/owner)
- Use when: Onboard new team members
Create Category
- Shortcut: Opens category creation modal
- Fields: Name, optional color picker
- Use when: Establish new organizational taxonomy
View All Users
- Shortcut: Navigate to user management page
- Includes: Search, filter by role
- Use when: Manage team permissions or audit access
Bulk Import
- Shortcut: Opens CSV import uploader
- Requires: CSV file (5,000 row max)
- Use when: Migrate from another system or batch-add terms
Performance Notes
- Dashboard updates are real-time but may show a 1–2 minute delay for aggregated metrics
- Activity feed shows most recent 50 items; scroll to load more
- Trends chart renders 90 days of data
Troubleshooting
Dashboard shows stale data
- Refresh the page (Cmd/Ctrl + R)
- Check your internet connection
- Wait 1–2 minutes for cache to invalidate
Metrics appear incorrect
- Verify your filters (if any)
- Soft-deleted items should not count toward totals
- If issue persists, contact support with your workspace ID
